You can use School Forms to send an online Form to selected Staff or User Groups.
The Form Template type needs to be School Staff Form no Student.
Templates that are intended to be sent to other Staff members to complete need to have the Send to next Staff member(s) and Staff Save Changes pair in their Workflow after Step 1 (Create). In both steps, the nominated Users is left as the default - Any User.
After those two additional steps, you can add Send for Approval/Approve pairs and Send copy to Staff steps if you wish.
Once you have created your Template, select School Forms from the left menu panel, and click Add New.
Create the Form from the Template:
- set the option This Form is for me to No
- nominate individual Staff, or User Groups by typing their names in the next field
Remember: any additional files you want to share with Staff should be via Links/URLs - either in the Template, as we have done here, or in the appropriate field/s provided in the Form. Do not add any files using the +Add files... button because they cannot be accessed by the recipients.
However, Staff can add files to their version of the Form when they fill it out if they need to do so.
When done click Save New Form. If all the details are correct, click the Send to next Staff member/s button.
A copy of the Form will then be created for each of the Staff Users you nominated, and they will receive an email notification advising there is a new Form to complete.
When they click the link, EdSmart will open; if they are currently logged in, they will be taken straight to the Form, otherwise, they will need to sign in first.
They will be taken to their copy of the Form, where they click Edit Form to enter their information.
Once all changes are made and any requested files have been uploaded, the Staff member clicks the Save Form button which takes them back to the main Form view.
Here they click Staff Save Changes and confirm their choice when prompted.
If there are no other Approval/Edit steps in the Workflow, their Form will now show as Complete.
You can check the status of each Form from the main School Forms page, and click through to view each one, just as you do for any other Forms.
