How to Setup Faculty Availability
Whilst following the steps outlined in ‘Creating Parent Teacher Interview Sessions from an Event using the Default Parent Teacher Form Template', you have 2 options:
Set Bulk Unavailability for All Staff Users
Set Bulk Unavailability for Individual Users
Utilise the Schedule tab when your Parent Interview Slip is in ‘Draft’ status.
Selecting Faculty Availability from the 'Staff User Unavailability' Tab
When creating a Session, select the ‘Staff User Unavailability’ Tab
Once selected, by default, the space will be blank. To add unavailability, select the blue '+' button.
Once selected, by default, the drop-down list will say ‘All Staff Users’, but by selecting this, all relevant Users will also show as individual options.
You can have multiple rows by selecting the blue '+' button so that all staff can have unique unavailability, as well as if you would like a bulk unavailability block for all Staff Users.
By selecting ‘Unavailable From’ and ‘Unavailable To’, this period of time will not show for Parents/Caregivers when booking their Interviews.
Selecting Faculty Availability from the ‘Schedule’ Tab
When your Parent Interview Slip is in ‘Draft’, click on the 'Schedule’ tab
You will be directed to a page that shows individual availability.
By selecting the drop-down, you can select which User you want to update.
By clicking on each green ‘Available’ drop down, you have the capacity to update this to be either ‘Not Available’ or ‘Booked’
Once you have finalised the relevant availability for an individual User, select the blue ‘Update Schedule’ button.
Once completed, you can click on the ‘Session’ tab to navigate back to the Slip review page, still in ‘Draft’.
Once you’ve confirmed the details, select the green ‘Queue Slip to Send’ button
Your Parent Interview will remain in the ‘Queued’ status until it is ‘Sent’
