How do I know where a Student, Contact, Attribute, List, or User record came from?

Student, Contact, Attribute, List and User data can be created manually, by CSV upload or by automated import. Data created manually or by CSV upload is considered static. Data created by automated import is considered dynamic and will be updated dynamically with each sync or made inactive if it is not present. Contact your ICT team if you are unsure whether your school does automated data syncs from your Student Management System.

 

If you are on a View Details page in EdSmart, and under 'Record Source' you see 'Imported Record' with an arrow icon, then this data came from a sync from your Student Management System. These records will be dynamically updated with each sync. If there is no icon showing, then this is a static Student, Contact, List, Attribute, or User and it will be unaffected by syncs.

Things to Note:

If you have a Student List that was created manually or by CSV upload, it will remain static even if there is a List coming from your Student Management System with the same name. If you have a static List that needs to be updated dynamically, contact Support and we will edit the List so it will act as if it was created via import.

If you have a Student or List record that was created by import and is no longer current in your Student Management System but still appearing in EdSmart, check with our Support team that these settings are enabled on your school's account:

  • Clear Student Lists on Auto/Schedule Import

  • Clear Student Lists on Auto/Schedule Import from previous imports

  • Make inactive imported students not in current import

  • Mark Inactive Student Lists Not In Current Import

User Groups can be created manually or via import but will not go inactive if they are no longer included in an import, they will just become empty.
