School Data Management in EdSmart
School Data is generally managed in EdSmart by one, or a combination of, these three ways. If you are unsure how your EdSmart data is managed, check with your school ICT team. We have collections of articles in our Knowledge Base for each method. You can also contact EdSmart Support for assistance.
Most desirable option: Automatic data syncs from your Student Management System (SMS).
If this is set up for your school, changes you make in your SMS to data for Students, Student Attributes, Contacts, Contact Attributes, Student Lists, Staff Users, User Groups and Student Photos can reflect in EdSmart, typically the following day unless otherwise requested. This means you don't need to manually change the data in EdSmart, just change it in your SMS. Here is a collection of articles about Synching your school's data with EdSmart.
Next option: Importing data in bulk from your SMS via CSV file.
If your school does not have a data sync into EdSmart, or for example, if your SMS does not allow you to create certain Lists that you need, you may manually import data in bulk into EdSmart via CSV file for Students, Student Attributes, Contacts, Contact Attributes, Student Lists, and Users. Final option: Manually entering and editing data in EdSmart
This method should only be used if you do not have a Student Management System that is the source of truth for your school’s data. Students, Student Attributes, Contacts, Contact Attributes, Student Lists, Staff Users and User Groups can be manually created and managed in EdSmart.
