Integrate EdSmart Payments into Parent Initiated Form (PIF)

EdSmart Payments is an easy solution for collecting all types of school fees through School Easy Pay.

Parent Initiated Forms are Forms that are started by the student's parent. Parents can log in to the EdSmart ‘My Forms’ Portal to start a Form for their child/ren at any time.

By having EdSmart Payments available in Parent Initiated Forms, Parents can now submit Forms, including payments at their own time. Schools would need to enable EdSmart Payments on the Parent Initiated Form Template to allow parents to make payments.

Forms that could benefit from this include:

  • Enrolment forms

  • Sports/Music registration

The difference between payments set up in Parent Slips and Parent Initiated Forms is that they are enabled when creating the Slip in Slips. The payments in Parent Initiated Forms are enabled when creating the Form Template.

Steps to activate EdSmart Payments for a Parent Initiated Form:

  • You need to have EdSmart Payments set up for the school. Find out more here if your school isn’t enabled for Payments.

  • Click Form Templates, select Add New and choose 'Parent Initiated Form for Student'.

Setting up the Payments for Parent Initiated Form

  1. Payment Requested: Select Yes to Enable Payments from Parents for this Parent Initiated Form Template.

  2. Payment Amount: Specify the amount the parents need to pay here.

  3. Allow Edit of Amount: Schools can choose whether Parents can edit the amount they want to pay.

  4. Payment Required: This field lets you choose whether a Payment has to be made by the Parents to complete the Slip. 

  5. A good option for this field is 'Only for Positive Responses' as it allows Parents who have chosen 'Permission not given' to also submit a response without making a payment.

  6. Your Reference: Schools can use this field to add a reference number, which can be later used for Reporting, Reconciliation reports, etc.

Let’s look at the parent experience via the EdSmart My Forms Parent Portal (This experience will be different depending on whether your school has integration with Schoolbox).

  1. Parents log on to their EdSmart account.

  2. They start their Parent Initiated Form template for Sports Registration as an example.

  3. They fill out the Form.

  4. Make the payment for the Form.

  5. Submit the Form

  6. Parents will receive a confirmation of the payment from School EasyPay. They will also receive a confirmation email from EdSmart for the response submitted.
